Privacy Policy
Effective Date: July 17, 2025 | Last Updated: July 17, 2025
Secure Data Compiler (referred to as “Secure Data Compiler,” “we,” “us,” or “our”) is committed to protecting the privacy of our website visitors and users who schedule product demos or otherwise interact with our site. This Privacy Policy outlines the types of information we collect through our public website (including any scheduling or chat features), how we use and protect that information, and your rights regarding that information. By using our website or providing information to us, you acknowledge that you have read and agree to the practices described in this Privacy Policy.
Scope and Application
This Privacy Policy applies to information collected through the Secure Data Compiler website (www.SecureDataCompiler.com) and related online interfaces that we control, including the embedded scheduling service and AI chatbot provided on our site. It does not apply to any information that may be collected through our enterprise software implementations or other services provided to clients under separate agreements. In particular, if you are using a white-labeled or enterprise implementation of Secure Data Compiler, that implementation may be governed by a custom privacy policy specific to the client. This website and our services are intended for users in the United States, and we do not knowingly target or solicit personal information from individuals outside the U.S. or from children under the age of 13.
Information We Collect
We do not collect any personal information from you when you simply browse our website. We do not use any analytics or advertising trackers on our site – no Google Analytics or similar tools are employed, and we do not passively collect personal data about your browsing. The only information we receive is what you voluntarily provide through interactive features like scheduling a demo or engaging with our AI chatbot, as well as minimal technical data necessary for the site to function (described below):
Information You Provide for Scheduling Appointments
Our site uses an embedded Calendly scheduling tool to allow you to book a demo or appointment with us. When you choose to schedule an appointment, you will be prompted to provide certain personal information such as your name, email address, phone number, organization, or other relevant details necessary to set up the meeting. This information is provided directly by you and is used solely to schedule and coordinate the demo (e.g., to send you a confirmation and a link to the meeting, typically via Google Meet). We do not store this information on our own web servers; instead, it is collected and processed by Calendly on our behalf. In this context, Secure Data Compiler is the “data controller” determining the use of your information, and Calendly acts as our “data processor” (service provider) handling the data strictly for the purpose of scheduling the meeting. Any personal data you enter in the scheduling form is used solely to arrange the demo and communicate with you about it.
Information You Provide Through Communications
If you communicate with us by other means—for example, by sending us an email or providing information through a contact form (if available)—we will receive any personal information you choose to include (such as your email address, name, and the content of your message). We will use this information only to respond to your inquiry or to provide the information or service you requested. We do not use contact information provided in this way for marketing purposes, unless you separately request or consent to such use.
Chatbot Interactions
Our website features an AI-powered chatbot intended to assist visitors by answering questions and providing information about our services. This chatbot is powered by Google’s AI technology (e.g., using Google’s conversational AI platform) to generate responses. If you choose to interact with the chatbot, it will receive the text of your questions or messages in order to formulate a reply. We do not ask you to provide personal data via the chatbot, and you should refrain from sharing sensitive personal information in these chat interactions. We do not permanently store transcripts of chatbot conversations on our servers, nor do we use them for any purpose other than providing you with real-time assistance. The content of your chat may be processed by our service provider (Google) to generate the AI response, but such processing is transient and used only to fulfill your request. We treat any information you submit via the chatbot as non-sensitive query data, similar to how we would handle general questions.
Automatically Collected Information (Minimal Technical Data)
We do not actively track or profile visitors, but like any website, our servers (or the platforms hosting our site) may automatically receive certain technical information when you visit. This can include basic data such as your IP address, browser type, operating system, the date and time of your visit, and the pages or resources you access. We do not use this information to identify you, and we do not link it to any personal data you provide. Such technical data is generally used only for security logging and monitoring (e.g., to ensure the site is functioning correctly or to investigate malicious activity) and is regularly purged or anonymized. We do not use any first-party cookies or other tracking technologies to gather analytics about your site usage.
Calendly Scheduling Data and Cookies
Because we use Calendly’s embedded scheduling widget to facilitate demo bookings, some data collection is performed by Calendly when you use that feature. This includes the personal information you enter to schedule the meeting, as described above, and may also include Calendly’s use of cookies or similar technologies to ensure the scheduling process works smoothly (e.g., to remember your inputs or manage your booking in real-time). Calendly may collect information about your device or browsing session via these cookies when you interact with the scheduler. In accordance with Calendly’s requirements, we hereby notify you that our site uses Calendly’s scheduling services and that Calendly may collect certain information from you as set forth in the Calendly Privacy Notice. Such information is handled in accordance with Calendly’s privacy practices and is used strictly to provide the scheduling functionality. (For further detail, you can review Calendly’s Privacy Notice, which explains their use of cookies and data when you book a meeting through their system.) Rest assured that the data you provide via Calendly is not used by Secure Data Compiler for any purpose other than to arrange the requested meeting.
In short, we limit our collection of personal information to only what you actively submit to us (e.g., scheduling a demo or contacting us) and a minimal amount of technical data for operational purposes. We do not collect any financial information, Social Security numbers, or other sensitive personal data through our website. We also do not knowingly collect personal information from any individual under the age of 13, and our site is not intended for children.
How We Use Your Information
We use the personal information collected from you only for the purposes for which it was provided and in a manner consistent with your expectations. Specifically:
- Service Provision and Scheduling: We use the information you provide to schedule and conduct the software demo or appointment you requested. For example, we will use your name and contact details to book your appointment, send you confirmation and reminder communications (which may include emails or calendar invites with video conference links), and to follow up regarding the demo if necessary. If the demo is to be held via virtual meeting (such as through Google Meet or a similar platform), we will use the information to facilitate that meeting (e.g., by generating a Google Meet invite using your email address).
- Communication: We may use your contact information to communicate with you about your appointment, to respond to inquiries or support requests you send us, and to provide any information you request about our services. Communication will generally be limited to transactional or informational purposes. We will not send you newsletters or marketing emails unless you have separately subscribed to such communications. You will not receive unsolicited marketing calls or messages from us simply as a result of providing your information for scheduling a demo.
- Improving User Experience and Site Functionality: We may use aggregated, non-personal data about how the scheduling interface or chatbot is used (e.g., number of demo requests, common questions asked of the chatbot) to improve the functionality of our website and the quality of our services. These improvements may include refining our user interface, troubleshooting technical issues, or enhancing content to better address user needs. Such analysis does not involve profiling individual users or collecting any additional personal details beyond what you provided.
- Security and Fraud Prevention: Information (including technical log data or any information from attempted form submissions in restricted areas) may be used to protect the security of our website, our systems, and our users. This includes using data to detect and prevent malicious or unauthorized activity. For example, if our systems detect unusual activity that could indicate a bot or an attempt to access non-public portions of the site, we may review logs (which could contain an IP address or user agent information) to investigate and strengthen our defenses. We may also use information from our visual deterrence systems (described below in the Decoy Login Access and Visual Deterrence section) solely for the purpose of monitoring and preventing unauthorized access attempts, though by design those systems do not collect personal data.
- Legal Compliance and Protection of Rights: Where necessary, we may use or disclose your information to comply with applicable laws, regulations, legal processes, or governmental requests. For instance, if we receive a legal subpoena or court order requiring us to provide certain information, or if we need to use information to exercise or defend our legal rights (such as to address a dispute or investigate fraud), we will do so to the extent permitted by law. We will also use or disclose information as needed to protect your vital interests, the safety of others, or our rights and property, in accordance with applicable law.
We do not use the information you provide for any automated decision-making or profiling that produces legal or similarly significant effects on you. All processing of personal information is done for clear, limited purposes as described above, and in line with your interactions with our site.
How We Share or Disclose Information
Secure Data Compiler does not sell, rent, or trade your personal information with third parties for their own marketing purposes or for any other purpose. We only share your information in a few specific circumstances, which are described below, and always with appropriate safeguards in place:
Third-Party Service Providers and Processors
We share information with a few trusted service providers solely to facilitate the services you have requested (such as scheduling and hosting your demo, or enabling chatbot functionality). These providers act on our behalf and are contractually obligated to use the information only for the purposes we specify, in compliance with this Privacy Policy and applicable law. The main third-party services we use are:
- Calendly (Scheduling Service): We use Calendly to manage appointment scheduling on our site. When you schedule a demo, the information you enter (e.g., name, email, selected time/date) is passed to Calendly’s systems, which then coordinate the calendar invitation and confirmation messages for your meeting. Calendly processes this information only to facilitate the scheduling on our behalf; it does not use your data for any independent purposes. Calendly may also employ cookies or similar technologies as part of the operation of the scheduling widget. All data you provide via the scheduler is governed by this Privacy Policy and Calendly’s privacy commitments as our service provider. (Calendly’s Privacy Notice provides details on the information it collects and how it protects it.) We have ensured that Calendly, as a GDPR- and CCPA-compliant service provider, will maintain strict confidentiality and security for your information. In simple terms, Calendly serves as an extension of our team for booking your meetings, and it will not retain or use your personal data except as needed to provide those scheduling services to us.
- Google Services (Communication and Chatbot): Our scheduling process and demo meetings leverage certain Google services. In particular, we typically use Google Calendar and Google Meet to arrange and host virtual demo sessions. When a demo is scheduled, your email address may be used to send you a Google Calendar invitation containing a Google Meet video conference link. This means Google will process your calendar invite details (such as your name and email) in order to set up the meeting. We do not disclose any other additional personal information to Google beyond what is necessary to create the meeting invitation. Additionally, as mentioned, our on-site AI chatbot is powered by Google’s AI platform. When you interact with the chatbot, your messages are passed to Google’s service to generate a response, and then promptly returned to you. Google acts as our processor in this role, and it is contractually or commercially obligated not to use the content of the chatbot interaction for any purpose other than providing the service to us. We do not receive identifying information about you from Google (unless you provide contact information yourself during a chat, which we advise against for your privacy). Both Google Meet and the AI Google services are covered by Google’s robust privacy and security terms. We encourage you to review Google’s general Privacy Policy for more information on how they handle personal data in their services. However, please note that any data handled by Google on our behalf (for calendar invites or chatbot responses) remains subject to our controls and the limitations of this Privacy Policy.
- Email/Hosting Provider: If you communicate with us via email, or if our website has any contact submission forms, the messages you send may be handled by our email service provider or website hosting provider. Such providers would process your communications solely to forward them to us or store them for our retrieval. They are not permitted to use your messages for any other purpose. (For example, if our email is hosted on a service like Google Workspace or Microsoft 365, that provider processes the email you send in order to deliver it to our inbox).
Business Transfers
If Secure Data Compiler (or substantially all of its assets) were to undergo a business transaction such as a merger, acquisition, restructuring, or sale of assets, it is possible that personal information collected through our website may be transferred as part of that transaction. In such a case, your personal data would continue to be subject to the protections of this Privacy Policy (unless you are notified otherwise and, if required by law, given an opportunity to opt out of the transfer).
Legal Requirements and Protection
We may disclose personal information to third parties if we determine that such disclosure is necessary to: (a) comply with any applicable law, regulation, legal process, or governmental request (such as a court order or a law enforcement demand); (b) protect the rights, privacy, safety, or property of Secure Data Compiler, our customers, or the public; or (c) enforce our agreements and policies, including investigating potential violations. We will only do so to the extent that such a disclosure is lawful and proportionate to the issue at hand. Where legally appropriate, we would attempt to notify you of any required disclosure of your information unless prohibited (e.g., by a law enforcement gag order or in an emergency situation).
Other than the circumstances above, no personal data you provide will be shared with or disclosed to any other individual or organization. In particular, we do not sell your information to data brokers or marketers, and we do not share your information with any third parties for their independent marketing or advertising purposes.
Cookies and Tracking Technologies
Secure Data Compiler does not use any first-party analytics or advertising cookies on our website. We do not deploy tracking pixels, web beacons, or social media plugins that gather personal data about your browsing habits. The only cookies or similar technologies that may be present are those used by our embedded third-party services for functional purposes:
- Calendly Cookies: When you use the embedded Calendly scheduler on our site, Calendly may place cookies or similar tracking technologies on your browser to remember your preferences and ensure the scheduling process works correctly. For example, a Calendly cookie might keep track of your session to maintain the state of the booking form as you fill it out. These cookies are controlled by Calendly and are subject to Calendly’s cookie and privacy policies. Calendly displays a cookie consent banner on its scheduling pages (as required by law in certain jurisdictions) to inform you of its use of cookies and allow you to adjust preferences if applicable. If you are in a region where such consent is required, you will have the ability to manage Calendly’s cookies via that banner or through your browser settings. We do not have access to the data collected by Calendly’s cookies, other than any information you submit directly via the scheduler.
- Chatbot Session Data: The AI chatbot may use a temporary session or token to maintain the continuity of the conversation while you are using it. This could be stored in your browser’s local storage or as a session cookie. This is purely to allow the chatbot to remember what was discussed in previous messages during your visit. These session data elements expire when the chat session ends or you close your browser. They do not track you across other sites, nor do they store personal information.
Other than the above, our website does not set any of its own cookies. If you prefer, you can set your web browser to refuse or remove cookies. However, please be aware that blocking all cookies might interfere with the functionality of the Calendly scheduler (e.g., it may not remember inputs or may treat each step as a new session). Since we do not use any non-essential cookies ourselves, we do not present a cookie consent banner for our site content. Any consent related to Calendly’s cookies is handled through Calendly’s interface as described. By using the scheduling feature, you are effectively consenting to Calendly’s use of cookies and similar technologies as required to book your appointment.
Data Security
We take data security very seriously and employ administrative, technical, and physical security measures to protect the information you entrust to us. While our website intentionally collects very little personal data, any information that is received or stored (even temporarily) is protected with a high level of care. Our security measures include, but are not limited to:
- Encryption: The Secure Data Compiler website is accessible only via HTTPS, which means all data transmitted between your browser and our site (including any information you submit via Calendly or the chatbot) is encrypted in transit using industry-standard TLS (Transport Layer Security) protocols.
- Access Controls: We limit access to the minimal personal information we hold to only those personnel and service providers who need it to perform their functions. Administrative access is protected with strong authentication.
- Monitoring and Auditing: We maintain logs of administrative actions and access to our systems to provide an audit trail for security purposes. We employ firewalls and other network security measures to protect our website from intrusion.
- Testing and Maintenance: We regularly update our website platform and its dependencies to address security vulnerabilities. We may conduct periodic vulnerability assessments to test the resilience of our site.
It is important to note that while we strive to follow the strictest security standards, no website or transmission can ever be 100% secure. However, we are continuously improving our security posture and will promptly inform users of any significant data security incidents that affect their personal information, in accordance with applicable laws.
Decoy Login Access and Visual Deterrence
As part of our commitment to data integrity and security, we have implemented certain visual deterrence systems on the Secure Data Compiler website. You may notice, for example, an “Agent Login” or similar login-like section on our site. These sections are decoy interfaces designed to simulate sensitive access points for the purpose of discouraging and detecting unauthorized interaction attempts. Importantly, these decoy interfaces are non-functional and do not grant access to any systems or data. They exist purely as a front-end simulation to demonstrate our security posture and serve as a deterrent.
When you interact with these decoy elements (such as by attempting to enter credentials in the “Agent Login”), no data is collected, transmitted, or stored. The forms or fields in these sections do not submit information to any server or database. We do not log usernames, passwords, IP addresses, or any inputs from these interfaces. The decoy simply provides a visual signal that unauthorized access is not permitted and that we have measures in place to catch or discourage malicious actors.
In certain white-label implementations of the Secure Data Compiler software for enterprise clients, the client may request enhanced monitoring features. For example, an enterprise client might want to log attempted unauthorized access events for their own auditing purposes. In such cases, the version of the software deployed for that client may be configured to log specific details of intrusion attempts or unauthorized logins (always in compliance with applicable law and with appropriate notice). If an implementation includes such features (e.g., logging of IP addresses or attempted credentials at a decoy login), those capabilities will be clearly described in a custom privacy policy specific to that implementation.
It is important to emphasize that on our public Secure Data Compiler website, no such logging takes place—the decoy login remains purely a visual deterrent with no data collection.
Data Retention
We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, or as required by law or legitimate business needs.
- Scheduling Information: We keep this information for a reasonable period after the meeting for follow-up purposes and then purge old entries.
- Chatbot Conversations: We do not store personal data from chatbot conversations. Any logging is anonymous and temporary.
- Emails/Communications: Business correspondence may be retained for a standard period in our email archives.
- Technical Logs: Security logs are kept for a short period (e.g., a few weeks) and then deleted or anonymized.
When we no longer have a legitimate need or legal obligation to retain your personal information, we will securely delete or anonymize it.
Your Rights and Choices
We believe in being transparent and giving users control over their personal information. We strive to uphold the spirit of privacy regulations and facilitate your rights.
- Access and Update: You have the right to request information about what personal data we hold about you and to correct it.
- Deletion (Right to be Forgotten): You may request that we delete the personal information we have collected from you.
- Withdrawal of Consent: You have the right to withdraw consent where our processing is based on it.
- California Privacy Rights: While we are not formally subject to the CCPA/CPRA, we extend similar protections to our users.
- Do Not Track: Our site does not track users, so a DNT signal has no added effect, but we honor its spirit.
- Opt-Out of Communications: We only send transactional communications. If you receive unwanted contact, let us know and we will stop.
To exercise any of your rights, please contact us using the information provided below.
Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, to incorporate new services, or to ensure compliance with legal requirements. If we make material changes to this Policy, we will post the revised version on our website and update the “Last Updated” date at the top. Your continued use of the Secure Data Compiler website after any updates to this Policy constitutes your acceptance of the changes.
